An employee asks how to request leave. After checking access, the assistant searches the permitted sources and gives a short explanation with a link to the current procedure. If the available documents do not contain the answer, it says so and refers the employee to the agreed contact person.
We preferably start with one department, one shared folder and 20–50 up-to-date documents. We select suitable sources and decide who has access, who maintains the documents and how changes and deletions are reflected.
We set up an internal question interface and test real employee questions, source links and access boundaries. We agree how quickly source changes must appear and check that deleted or inaccessible documents no longer contribute to answers. After the pilot, we can add more sources or user groups.
